The Under-Scheduled Patients Tracker is a new tool available in the Patient Engagement suite of features. This tracker will show you which patients are potentially under-scheduled based on patient benefits and therapist plans of care. Patients on this list can be notified to schedule more appointments by SMS text message.
How Patients Are Tracked
Plan of Care (POC): Frequency and Duration entered by therapist within their clinical documentation. If a patient is prescribed 3 visits a week for 4 weeks, and they are only scheduled for 2 appointments in the given week, this tool allows you to notify that patient to get more appointments on the schedule.
Insurance Authorization: You may need to also consider a patient's Insurance Authorization status. Even if they are under-scheduled based on their POC, they may not have visits remaining through insurance.
This column can be filtered out if necessary.
Rx Authorization: Rx authorizations can be used for a number of purposes, but if visits are prescribed by the referring doctor, you may want to consider how many appointments are remaining.
This column can be filtered out if necessary.
The Appointment Week dropdown allows you to select patients that have POC/Certifications or Authorizations that span the selected date range. You can select up to 4 weeks in advance, but not in the past.
Notifying Patients
Patients can be notified one at a time (Notify button) or all patients on the screen at once (Notify All button). However, patients can only be notified once per calendar week.
Your patients will receive an SMS text message letting them know they are potentially under scheduled based on their treatment plan or authorizations. The facility phone number is provided for patients to call the clinic to then schedule additional appointments.
